Send a friendly WhatsApp reminder 3 days before the due date, a short note on the due date, and then follow up 3, 7, 15 and 30 days after, getting a little firmer each time. Every message should include the invoice number, the amount, the GST invoice PDF and a payment link, so the client can pay in one tap without having to ask you for anything.
Below you'll find the schedule, 12 templates you can copy and paste (English and Hinglish), and a few habits that keep the client relationship friendly while the money comes in.
Why WhatsApp works for payment reminders (and where it doesn't)#
Most Indian clients read WhatsApp within minutes. Email reminders sit unopened in the accounts team's inbox. A WhatsApp message lands with the person who actually approves the payment.
But WhatsApp is informal, so tone matters a lot. If you sound too stiff, you come across as rude. If you sound too casual, the client thinks it can wait. The trick is to stay polite and keep each message specific: one invoice, one amount, one link.
A few ground rules:
- Message the right person. That's usually the person who approved the work, and the accounts contact if they've given you one.
- Stick to working hours, roughly 10 am to 7 pm, Monday to Saturday. A 10 pm reminder feels like pressure.
- One invoice per message. If three invoices are pending, send a short summary along with the PDFs.
- Don't remind people in group chats. Talking about money in front of their team embarrasses the client.
The follow-up schedule#
Here's the rhythm we suggest for a typical invoice with 15 or 30-day terms.
| When | Goal | Tone |
|---|---|---|
| 3 days before due | Make sure the invoice is in their system | Friendly heads-up |
| On the due date | Make it easy to pay today | Light, helpful |
| 3 days after | Check if anything is blocking payment | Polite, curious |
| 7 days after | Ask for a firm date | Polite, direct |
| 15 days after | Show that work and terms depend on it | Firm |
| 30 days after | Final written reminder before a call | Firm, formal |
Change the gaps to fit your business. A manufacturer supplying a big distributor on 45-day terms might stretch the later steps. A freelancer billing ₹15,000 a month might tighten them.

Make every reminder easy to act on#
Most late payments aren't refusals. The client is just busy, or the invoice is stuck somewhere. Take away every excuse:
- Attach the GST invoice PDF every time. Don't make them scroll back three weeks. Their accounts team needs your GSTIN, their GSTIN and the correct CGST/SGST or IGST split to book the bill and claim input tax credit. If any of these are wrong, they'll hold the payment.
- Add a payment link. A Razorpay link (or UPI details) turns "I'll do it later" into "done". For corporate clients who pay by bank transfer, include your bank details too.
- Record part-payments straight away. If the client pays ₹30,000 of ₹59,000, thank them and update your next message: "Received ₹30,000, thank you! Balance ₹29,000 on INV-0142." Getting the balance wrong is the fastest way to lose their trust.
- Keep a simple log: date sent, template used, reply received. When you call at day 30, you'll have the full story in front of you.
If you're tracking this in spreadsheets, Clyrix can help. You can create GST-ready invoices with a Razorpay payment link, and record each payment, including part-payments, against the project. That way the balance you quote on WhatsApp always matches your books. See GST invoicing in Clyrix.
Small habits that keep the relationship friendly#
- Thank them when they pay. A one-line "Received, thank you!" makes the next reminder much easier.
- Name the work, not just the number. "Website redesign, Phase 1" reminds them what they got for the money.
- Offer help before you get firm. Templates 5 and 6 often uncover a missing PO or a wrong address on the invoice.
- Be consistent. If you said work pauses at 15 days, actually pause it. Empty threats teach clients to ignore your messages.
- Put payment terms in writing upfront. Add them to the quote and the invoice so your firm reminders are pointing to something already agreed.
If you're a micro or small enterprise registered on Udyam, the law gives you extra protection against delayed payments from buyers, including interest on late payments and a government portal to raise disputes. Ask your CA how this applies to your invoices before you mention it to a client.
When to stop messaging and call instead#
WhatsApp is great for reminders. It's bad for negotiating. Pick up the phone when:
- The client has read your last two messages and not replied.
- The amount is large enough to hurt your cash flow. For a small agency, a ₹2 lakh invoice is a phone call, not a sixth text.
- The client says there's a problem with the work. Sort out the problem first, then the payment.
- You've reached day 30.
On the call, stay calm, confirm the amount and agree on a specific date, then send a short WhatsApp message afterwards: "Thanks for the call, Ankit. As discussed, ₹59,000 by 10 April." Now the agreement is in writing.
If it's still unpaid after that, talk to your CA or a lawyer about a formal notice. At that point you're past reminders.
